What does the job entail?

  • Assisting with processing of Parts jobs from the start through to completion.
  • Greeting customers in a courteous and efficient manner, both in person and by telephone.
  • Maintaining up to date product knowledge of Parts policies and product changes.
  • Supplying accurate and timely estimates for parts orders.
  • Preparing and presenting invoices in a consistent and professional layout.
  • Listening to and recording customer complaints in the Company Complaint Log and reviewing with Department Manager where appropriate.
  • Assisting in maintaining your work station and reception area, adhering to a clean desk policy at all times.
  • Maintaining the Group’s Dealer Management System with up to date customer information for future follow up and marketing.
  • Processing all job cards/invoices in a timely manner, ensuring work in progress is kept to a minimum.
  • Correcting and re-submitting any invoice corrections as quickly as possible.
  • Maintaining a good filing/control system to aid any future audit process.
  • Assisting with stock checks, both daily and annually.
  • Ensuring procedures for handling cheques and accounts are fully adhered to.
  • Attending internal/external training courses.
  • Ensuring that parts are correctly checked against delivery notes and all orders are checked before the delivery note is signed.
  • Ensuring all parts and accessories are correctly stored and the work area is kept to a high standard of cleanliness.
  • Being fully aware of the usual trading terms of the dealership.
  • Monitoring and maintaining agreed stock and accessory levels.
  • Dealing with all returns including old units to the manufacturer.
  • Maintaining showroom displays with current stock.
  • Cleansing reserved parts and following up any customer orders.
  • Receipting and ordering orders to our suppliers.
  • Claiming any damages or discrepancies from any suppliers.

What are we looking for?

  • Previous experience of working in a fast paced parts department would be an advantage but not essential
  • Good working knowledge of Microsoft Office applications
  • Presentable and experience of working in a customer service environment
  • Ability to work on own initiative
